NEPTL Volunteer Coordinator Job Description

Position: Volunteer Coordinator at Northeast Portland Tool Library (NEPTL)

Job Type: Part-time (10 hours per week), hourly, non-exempt

About this role:

Our day-to-day operations are staffed by a community of volunteers under the supervision and coordination of our Volunteer Coordinator. The Coordinator thus plays a key role in the organization by recruiting, training, and scheduling the volunteers who make our continued operation possible. Furthermore, the Volunteer Coordinator helps manage library operations by making sure that the facility is opened on time and in line with established procedures. Knowledge of tools is not a requirement of this position. The Volunteer Coordinator reports directly to the Chair of the NEPTL Board of Directors.  

 

Compensation:

Wages of $20/hour. Gross monthly compensation of approximately $800. Benefits include one week (10 hours) of paid vacation.

 

Schedule: Three days per week on site (at least 5.5 hours per week in total) plus an additional 2 to 4.5 hours per week of remote work performed intermittently. The Coordinator is required to be present for library opening and for the first half of normal NEPTL operating hours. On Tuesdays & Wednesdays required on-site hours are 5:15 PM – 6:30 PM; on Saturdays on-site hours are 8:45 AM – 11:45 AM.

Primary Work Duties include the following, but other duties may be assigned:

 

VOLUNTEER COORDINATION

  • Encourage volunteerism among our members through regular emails, mass texting, and social media.

  • Schedule volunteers on our Google Calendar.

  • Track volunteer hours served via spreadsheet.

  • Schedule and perform training for new volunteers.

  • Ensure that volunteers have all necessary personal information and legal waivers on file.

  • Recognize and celebrate volunteer contributions by suggesting newsletter and social media mentions. 

  • Help organize our annual volunteer appreciation event.

 

TOOL LIBRARY MANAGEMENT

  • Open the library, set up the tool return station, turn on all computers/tablets, and log in all devices to our database.

  • Ensure volunteers are prepared for their shifts.

  • Perform “librarian” duties (new member sign ups, checking out tools, reshelving tools, etc.) when volunteer staffing is inadequate.

  • Resolve questions and disputes from members and potential members.

  • Assist as needed in the organization of tools and the improvement of our library database and operations.

 

ADMINISTRATION

  • Submit a brief written report to the NEPTL Board Chair in advance of monthly board meetings.

  • Attend up to 1 hour of monthly board meeting (via video call or in person).  

 

Job Requirements and Qualifications:

  • Good computer skills, especially proficiency with Google Workspace apps (Docs, Sheets, Gmail, etc).

  • Excellent customer service skills.

  • English language fluency.

  • Good organization skills and time management.

  • Ability to bend over and lift 25 pounds.

  • Prior experience in volunteer management is preferred but not required.
