The Oregon Department of Environmental Quality has a full-time opportunity for a Materials Management Support Specialist (Office Specialist 2) in Portland, Oregon.

The Land Quality Division supports the agency's mission by managing environmental cleanups, assessing cleanup sites, promoting manufacturing and recycling of non-toxic commercial products, safely managing the disposal of solid and hazardous wastes, overseeing the state's underground storage tank and heating oil tank programs, ensuring timely response and cleanup of spills of oil and hazardous materials, and regulating safe discharge of ballast water to state waters.

What you will do!

You will provide general office support, manage records, and conduct research and analysis to support the Materials Management program. You will answer phone calls; assist managers in maintaining calendars; coordinate all aspects of meeting scheduling and logistics; order, track, and reconcile purchases of services and supplies; provide support to managers and staff on various software, computer, and other equipment; answer routine questions about the program and services; enter data into various databases, and provide reports from those databases; draft and format documents; proofread and edit materials; develop spreadsheets; and prepare travel and training requests for staff. You will also gather, review, analyze, and prepare reports on data and information to support program performance measures and other reports and projects. Finally, you will maintain the records management system for the section.

What are we looking for?

Minimum Qualifications: 2 years of general clerical experience, 1 year of which included typing, word processing, or other experience generating documents.

Candidates who are most competitive will also reflect the following:

  • Familiarity with materials management.

  • Experience with calendar management.

  • Experience with conference logistics.

  • Experience scheduling virtual meeting logistics

  • Excellent verbal and written communication skills, interpersonal skills, and customer service skills.

  • Strong organizational and time management skills with an ability to switch priorities or projects seamlessly; high aptitude for learning new things and an ability to pay attention to detail.

  • Experience with databases, including entering data, running reports, and maintaining data integrity.

  • Experience researching, analyzing, and interpreting data and other information.

  • Proficient in Microsoft Office: Word, Excel, Outlook, and PowerPoint.

  • Experience with using software for records management.

Working Conditions:

Work is primarily in a fast-paced professional office. This position requires occasional travel on official State business for meetings, conferences, workshops, site visits, and public hearings, some of which may be held in the evenings and involve overnight stays.
