POSITION ANNOUNCEMENT AND DESCRIPTION

Schoolhouse Supplies is seeking a Programs Manager who is passionate about mission-driven work, enjoys working with a wide range of constituents, and understands operations, logistics and program delivery. The Programs Manager works at the heart of Schoolhouse Supplies’ mission: ensuring the quality and success of all aspects of program operations and management, relationships, program development, volunteer program supervision, and facility management. Supervisory responsibilities include the staff, volunteers and interns responsible for program preparation and delivery and warehouse and facility operations. This is an opportunity for a candidate to join an expanding team to support not only local public education and community engagement but also to help Schoolhouse Supplies grow to the next level.  

Organizational Overview

Since 1999, the Schoolhouse Supplies mission has remained the same: to support public education by providing free school supplies to under-resourced students.  We do this because we believe that every child deserves school supplies and has the right to a quality education regardless of their family’s income or racial/ethnic identity.

The program delivery model achieves additional goals through community engagement and by keeping supplies out of the waste stream.

The majority of children served are enrolled in a federal nutrition program. The cost of sending a child to school with needed supplies is out of reach for many families, yet research shows that when adequately equipped, children miss fewer school days, are more attentive in class and achieve higher test scores in all academic subjects. With the community’s support, Schoolhouse Supplies has distributed over $35 million in free school supplies and benefited hundreds of thousands of children.

Compensation and Benefits

This is a full-time position (40 hours per week) with a salary of $48,000.

Benefits include:

  • Paid time off (PTO) increases with the length of employment and for fulltime employees accumulates to 120 hours for the first year of employment.

Programs Manager Position Description

Position Summary

The Programs Manager is a key position that is responsible for collaborating with executive and development staff to provide management of Schoolhouse Supplies’ programs and services. This position works at the heart of Schoolhouse Supplies’ mission: ensuring the quality and success of all aspects of program operations and management, relationships, program development, volunteer program supervision, and facility management. This position reports to the Executive Director.

The Programs Manager will “oversee, train and develop” the Program Coordinator to succeed at implementing, coordinating, and maintaining the following areas which are the responsiblility of the Program Coordinator:

  • Schoolhouse Supplies programs, including the Warehouse and Free Store for Teachers, Tools for Schools, School Supply Drives and Partner Purchases

  • The collection and tracking of product donation and distribution, and partner utilization data

  • Volunteer training and scheduling

  • Oversee the inventory management database and preparing and maintaining all reports as directed

Position Description

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Ensure the successful delivery of all program activities and operations

  • Establish, document and maintain processes and systems

  • Develop and document programs, policies and procedures, monitor the effectiveness and results of each program and plan and implement adjustments and changes

  • Document annual program timelines and keep program schedules on track; collaborate with executive and other staff to develop timelines; work with Program Coordinator, and other staff, to develop and monitor timeline

  • In partnership with the Program Coordinator and other staff, develop annual shopping calendar, school/teacher eligibility criteria, and other program delivery parameters

  • Collaborate with executive and other staff in the development of program goals; implement evaluation tools to measure and track program impact on participants, families, volunteers, and partner organizations

  • Document program goals and subsequent evaluation tools to measure and track program impact on participants, families, volunteers, and partner organizations

  • Analyze data on a consistent basis to determine successes and areas for improvement; create related program improvement plans

  • Report program metrics, operations data, and pertinent program data to the Executive Director

  • Participate in the budget process and ensure the annual budget is adhered to

  • Support fundraising activities, events and proposal development that support programs

  • Supervise and train program and operations staff

  • Manage all shopping and pick-up activities and provide support to staff and volunteers during shopping hours (expected: Tues-Thurs 1-6pm, Sept – May). Summer (June-August) and school vacation week hours can be more flexible  

  • Participate in the creation of promotional materials and efforts to increase awareness of the programs and organization

  • Network with other Teacher Resource Centers and local organizations and exchange best practice ideas.  

  • Develop and maintain partnerships with schools and youth-serving organizations

  • Attend community events to represent the programs

  • Host facility tours as needed

  • Provide positive customer service to all donors, teachers, volunteers and other guests of the organization

Facility and Operations

  • Ensure that the warehouse and the Free Store for Teachers are equipped for the proper receipt, storage and distribution of in-kind products to partners

  • Coordinate with facilities and equipment vendors, either contracted or in-kind

  • Conduct routine inspections to ensure warehouse/store safety and health standards are met per established protocol

  • Maintain relationships with partners for off-site storage of school supplies

  • Ensure that all required warehouse and facility safety measures are in place and that staff and volunteers adhere to these guidelines

  • Support Program Coordinator to ensure efficient and effective work processes and to improve warehouse and program delivery operating efficiencies  

SUPERVISORY RESPONSIBILITES

Manages subordinates in the Programs and Operations division. This may include regular full time/part time associates, interns, temporary or seasonal associates, etc. This position is responsible for the overall direction, coordination, and evaluation of this unit. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disiplining employees; addressing complaints and resolving problems.

EDUCATION/EXPERIENCE

Bachelor's degree (B. A.) and three years of relevant experience; or five plus years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to respond timely to common inquires, write routine reports and correspondence. Ability to speak effectively before groups of business leaders, members of the business community, customers, and employees of organizations. Ability to effectively present information to top management, public groups, and/or board of directors.

CERTIFICATIONS

This position requires a valid Oregon Driver’s License.
