Tool Library Coordinator

Thursday evenings (5:30p - 7:00p) when we get
back to full operations
Summary of Primary Job Functions
The Tool Library Coordinator is primarily responsible for managing and coordinating all aspects
of the volunteer program including recruiting, training, and managing all volunteers. The Tool
Library Coordinator is also available to answer general inquiries and to perform other tasks as
specified by the Board.
Primary Duties and Responsibilities
● Process volunteer applications, including volunteer waivers.
● Conduct bi-monthly volunteer orientations (or schedule orientation with senior
volunteer).
● Schedule volunteers for shifts at the library, ensuring at least two volunteers present for
each shift.
● Develop, revise, and update volunteer policies, manuals, and procedures.
● Develop, revise, and update operations policies, manuals, and procedures.
● Recruit volunteers, including calling potential volunteers who have expressed interest.
● Manage our online volunteer scheduling system.
● Ensure volunteers are effectively utilized and follow-up with volunteers for feedback.
● Provide volunteers thank-you gifts.
● Track all volunteer hours in the database.
● Respond to general email inquiries.
● Update website as needed.
● Create and send monthly mass email campaign
● Organize regular events (monthly/bi-monthly)
● Engage with other Portland Tool Libraries and other non-profits with similar missions to
idea share and learn best-practices.
● Check our PO box and distribute mail.
● Other duties as assigned.

Compensation and Other Details
$15/hour with no benefits. Because of COVID-19 our hours have been reduced to Saturdays
only. We hope to get the Tool Library back open to the public Tuesdays and Thursdays 5:30pm –
7:00pm and Saturdays 9:00am – 12:00pm when it is safe to do so.
The Coordinator is required to be present at the library every Saturday, every other Thursday
(post-COVID), and every other Tuesday (post-COVID). Beyond the open hours of the library, the
weekly schedule is flexible. The Coordinator can take up to one Saturday off each month if a
board member or board approved volunteer can be on call.
