Scrap Bookkeeper (Close when filled)

SCRAP Creative Reuse is searching for a highly organized, detail-oriented individual with strong bookkeeping skills to join our team. This part-time position will provide financial operations for SCRAP as a whole and each SCRAP location (Ann Arbor, MI; Baltimore, MD; Denton, TX; Humboldt Co., CA; Portland, OR; and Richmond, VA).

SCRAP’s mission is to inspire creative reuse and environmentally sustainable behavior by providing educational programs and affordable materials to the community. To fulfill our mission, SCRAP operates a donation-based creative reuse store and education programming.

Bookkeeper

16-20 hours/week

Hourly – Non-Exempt

$25 Craft Allowance

Reports to: Executive Director

Direct Reports: None

 

JOB SUMMARY

This position manages the financial accounting, systems and reporting for SCRAP Creative Reuse.

Duties include, but are not limited to:

Financial Oversight – with the Finance Committee

  • Manage cash flow, securing the advice and direction of the Finance Committee

  • Set meeting times and agendas with the Treasurer for regular (bi-weekly) Finance Committee meetings

  • Key member of the SCRAP Creative Reuse Finance Committee

 

Financial Operations

  • Manage A/P and A/R  functions and Quickbooks ledgers for all SCRAP locations

  • Develops system to account for financial transactions by establishing a chart of accounts; defining bookkeeping policies and procedures

  • Assist CPA with tax return preparation

  • Provide information to Board Treasurer to reconcile bank accounts, expenses, and credit card charges each month

  • Oversee invoice activities and vendors payments for delivered materials

  • Generate 1099's when needed

  • Standardize and maintain financial and reporting systems

  • Process payroll on a bi-weekly basis

  • Manages new employee onboarding processes

  • Complies with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.

  • Manage relationships with vendors, banks & contractors

 

Reporting

  • Prepare monthly financial statements and reports, including the profit and loss statements, budget to actuals and balance sheets per site

  • Prepare a monthly board report – due to the Executive Director by the 7th of each month or the previous Friday if the 7th is on a weekend.

  • Prepare a monthly financial reports to site leaders – due by the 10th of each month.

  • Present to the Board upon request

 

Expertise

  • Bookkeeping skills and qualifications

  • Proficiency in Quickbooks and online payment systems

  • Working knowledge of Microsoft Suite and Google Suite

  • Excellent verbal and written communications skills

  • Experience with professional communications to stakeholders, informative internal communications

  • Experience with nonprofit finances a plus

  • Stay current with developments in recycling and reuse, including legislation and availability of recyclable materials markets

  • With other staff, be an ambassador for SCRAP Creative Reuse in the national community
